How to record an absence and schedule a makeup
Summer Weekly Classes – 2026:
Makeup spots are limited, so please make every effort to attend your scheduled class time. Of course, if your child is sick, we ask that you stay home and rest. We understand that occasional absences happen, and we’ll do our best to help when they do!
If you’d like to receive a makeup lesson for a missed class, please keep the following in mind:
- Advance Notice RequiredTo be eligible for a makeup lesson, please let us know about your child’s absence no later than the evening before your scheduled class. You can report an absence through the parent portal, or by email or text. The more notice you can provide, the better—it helps us offer your spot to another family who may be waiting for a makeup.
- Makeup Lessons Are Not Guaranteed (but we work hard to help you find one!)We’ll always do our best to find a makeup spot when needed, but availability is limited. Makeup lessons are offered on a first-come, first-served basis.
- Missed Makeup Lessons Cannot Be RescheduledIf a scheduled makeup lesson is missed, it cannot be made up again.
- How to let us know you’ll be gone:You can record absences directly through the parent portal. We’ve also provided a short video tutorial to walk you through the process.
- How to Schedule a Makeup Lesson:In the summer, we have a spreadsheet where families can find a makeup spot since we’re at so many locations. It’s updated each week. Please find the level or class type your child is in and put your child’s first name initial and last name in the blank. Note the DATE, Day of the Week, ADDRESS, Instructor and come to your make up class. If you have questions, feel free to reach out at 254.300.1728 or swimwaco@gmail.com and if you’re ever late, please just walk in the backyard.
- *For families with two students in a semi-private class: Please only log an absence if both students will be absent. When doing so, record the absence for just one child so that only one family can use the available makeup spot.
Summer Fast-Track Classes – 2026:
For our fast-track classes, we do not typically offer make up classes. In the event of unique circumstances, or prolonged illnesses, we can definitely work with you though – so if you are absent, please feel free to get in touch with us and we can chat through the options!
In the event of a bad weather cancellation by Swim Waco, we will do a make up class on one of the Fridays of your fast track session!
Additional Make Up Details:
- For those in private lessons, we cannot guarantee the makeup will also be a private lesson – it may be a group class.
- Missed makeups will not be rescheduled.
- There is never any obligation to schedule a makeup lesson if your child misses class. Whether or not you’d like a makeup, we always appreciate advance notice whenever your child will be absent!
Make Up & Absence Policy
Your child’s instructor is here waiting for you at your scheduled time and making sure your class is the best possible environment for your swimmer, so we do not encourage makeups! However, we also care about the health of our swimmers – so if your child is sick, please do not bring your child. If you must miss a class, please see the following guidelines:- Makeups are not guaranteed but we will try our best to find a spot for makeups when needed. These spots are limited and on a first-come, first-served basis.
- To receive makeups, lessons must be canceled in advance on the Parent Portal at least by the previous night. Each student can schedule makeups for up to 2 of his or her scheduled classes. The first makeup is free of charge, and the second makeup costs $5. (If we cancel class for any reason, the makeup for that class will not count as one of your 2 allotted makeups.)
- Makeups must be completed during the session that they were missed. (ex. the possibility for a makeup from a class missed during the fall of 2022 will expire at the end of the fall 2022 session)
- For those in private lessons, we cannot guarantee the makeup will also be a private lesson – it may be a group class.
- Payment is due immediately to secure the second makeup time slot. Makeup fees are nonrefundable.
- Missed makeups will not be rescheduled.
